Guest bookings

policy

 

Individual bookings must be paid in full. We do not accept deposits for individual guest bookings. For whole accommodation bookings, we take a 50% deposit at the time of booking, then the remainder 4 weeks before the workshop begins.

If you use a credit or debit card to pay for your booking, we will retain access to your card in order to settle any balances that might be latterly incurred. Your card details are held securely in our booking engine Retreat Guru. If you do not want this to happen, please contact us.

 

EF assures its guests that no personal information is shared with a third party. All data collected from guests in connection with their booking will be kept in accordance with the current Data Protection legislation.

 

When you make a booking with us, we take it as a declaration of good mental and physical health. As a small organisation, Ecovillage Findhorn CBS is not in a position to offer crisis support, or additional support in cases of illness or physical frailty.

 

We wish we could offer a refund to all of those who ask us for compensation in relation to mental health, physical illness, family emergencies, bereavement, injury, etc. However, as a small charity we regret that we are not able to underwrite these kinds of costs and as such our policy is non- negotiable.

 

EF reserves the right to cancel your booking, but if this happens, we will give you as much notice as possible. In the event of a cancellation, full paid fees will be refunded. We can accept no further liability for third-party course cancellations beyond the accommodation fee refund.

 

Travel to our location is not included in the booking price. Retreats are self catered, food is not included in the booking price.

 

Children over 6 years of age are welcome to stay in our accommodation with an accompanied adult. Parents/guardians must be mindful that other retreat participants will be sharing the space, therefore noise levels should be respected.

Cancellation Policy​

8 Weeks or more

 Fees paid are fully refundable minus a £20 admin charge.

6-8 Weeks

Refund in full minus 30%, or £100, whichever is highest, plus £20 admin charge.

4-6 Weeks

Refund in full minus 50%, or £150, whichever is highest, plus £20 admin charge.

Less than 4 Weeks

No Refund

  • We strongly recommend you take out your own insurance in case you have to cancel through illness or unforeseen circumstances.

  • EF does not assume responsibility for guests’ property, i.e. personal belongings and vehicles.

  • On the day of departure, we ask that guests vacate their rooms by 10:00am.

  • We ask that guests arrive at 3pm to be given your key and receive essential information about your retreat - including health & safety. If you think you are unable to arrive on time for a retreat then please contact us.

  • Pets cannot be accommodated (assistance dogs only by prior arrangement).

  • EF reserves the right to ask participants to leave a course, retreat or event if their behaviour is deemed inappropriate or is impacting negatively on the experience of other participants. The full fee may not be returned in such cases.

  • We also ask participants who want to leave any of our courses or retreats early and unexpectedly to inform the leader beforehand.

  • The team is keen to ensure that guests enjoy their stay. However, in the unlikely event that a guest is unsatisfied with any aspect of his/her stay, then we ask that the guest contact a member of the team who will attempt to resolve the matter.

Your Obligations

​

  •  Observe all fire and safety rules and procedures. No smoking is allowed.

  • Be responsible for the security of their personal belongings, both in rooms and cars. There is a £10 minimum charge, plus postage, for return of each item of lost property left behind after your booking, payable in advance of posting.

  • You must not use the rooms for any activity or in such a way as to cause nuisance or annoyance to other groups, any music live or recorded must cease at 10PM.

  • Fires, fireworks, fire pits are not permitted unless you have the express permission of the venue hire manager.

  • Agree to treat the venue and its contents with care and respect. You will pay EF, upon written demand, any costs incurred in making good any losses, breakages or damage which have been sustained.

  • You have the right to uninterrupted use of the rooms as per your booking agreement but you must allow anyone authorised by EF to enter for cleaning, maintenance checks or repairs or in the case of an emergency.

  • You must ensure that the rooms are left in a clean and tidy condition on your departure at the end of your stay.

  • Normal use of electricity, central heating and hot water is included in the price. Normal use of broadband internet is included in the price.

  • Clean bed linen and towels will be provided and are included in the price, we do not make bed linen or towels changes during the course of a booking. If we agree that you have a change of guests checking in/out of the same bedrooms during the course of your booking, there will be a changeover charge of £25 per change.3

  • Hand soaps are provided but guests are responsible for bringing their own personal cleaning products.

Gift Vouchers

​

We have gift vouchers to buy that can be redeemed against our retreats, courses, events.

 

Gift vouchers are valid for up to 12 months. You must use your gift voucher on a retreat, course or event that takes place within 12 months of the date of purchase. Unused gift vouchers or monies

will be donated to EF, helping towards our vision of a more sustainable & mindful world.

 

Gift vouchers cannot be exchanged for cash and are non-refundable.

In the unlikely event that a course needs to be cancelled by EF, a new gift voucher will be issued and will be valid for a further 12 months. In the event that a course is cancelled by a gift voucher holder, no refund will be given.

 

If a booking is placed using a gift voucher and then cancelled by the booker, the gift voucher portion of payment will be donated to EF.

 

Bookings made with gift vouchers cannot be transferred.

Standard Transfer Policy

​

If you decide to transfer your booking to an alternative course OR residential retreat then we will require at least 3 weeks’ notice, and a £20 admin fee will apply. Spaces on EF retreats cannot be sold on by a retreatant. Please note: we can only transfer your booking ONCE.

​

We reserve the right to terminate a booking any time that these conditions are not kept in full.
