Policy

Thank you for considering booking with Ecovillage Findhorn at The Park. Here are the basics of our deposit and cancellation policy. Please note, Ecovillage Findhorn holds Public Liability insurance through NFU Mutual. If you require additional insurance, it is your responsibility to obtain it.
Unfortunately, we do not accept provisional bookings as we are unable to carry that risk.

We reserve the right to refuse any booking, particularly if we feel it does not thematically fit with our ethos and values.

We will issue course leaders an invoice for 50% deposit of the total cost (inc. VAT) of booking our accommodations.

If you are booking within six/eight weeks of the date of arrival, the total fee is payable at the time of booking.

You will be asked to give a minimum and maximum expected number of guests – the median/minimum number will determine the total booking cost.

If we agree that you have a change of guests checking in/out of the same bedrooms during the course of your booking, there will be a changeover charge of £25 per guest change.

Gift vouchers may not be used to redeem the cost of bookings for course leaders.
Your booking is confirmed once we’ve received the signed form and deposit.
If you use a credit or debit card to pay for your booking, we will retain the details of your card in order to settle any balances that might be latterly incurred. Your card details are held securely in our booking engine Retreat Guru. If you do not want this to happen, please contact us.
Final Payments

If you have paid a deposit, the remaining balance will automatically be debited from your account six weeks before your retreat starts, and an email reminder will be sent to you in advance of payment being taken. If you have concerns about paying the balance, please contact us as soon as possible.

For payments to overseas bank accounts or via Paypal, any cost incurred in returning your deposit payment will be met by you and deducted from the payment.

Booking & Final Numbers

The number of people staying in the property must not exceed the maximum number agreed at the time of booking confirmation.

Without prior agreement, the use of tents at The Park, or sleeping in motor vehicles on or adjacent to the Property, is not permitted.

Guest rates are residential and will be charged as such, with the exception of pre-arranged, named, day guests.

Unless exclusive use is pre-arranged, we reserve the right to have more than one group in residence at the same time. If this is the case, we will inform you about it as early as we can.

Changes to the length of booking may potentially be regarded as a cancellation and will be handled on a discretionary basis by us.

Normal use of electricity, central heating and hot water is included in the price.

If you need to cancel your booking
If you need to cancel your booking, the following charges will apply:

Cancellations made between 12 and 6 months prior to the start date: 20%

Cancellations made between 6 and 3 months prior to the start date: 45%
-
Cancellations made between 3 months and 6 weeks prior to the start date: 65%
-
Cancellations made less than 6 weeks prior to the start date: 100%
​
By submitting the booking agreement, you agree that you are over 18 years of age and that you accept full responsibility for all payments due.

We wish we could offer a refund to all of those who ask us for compensation in relation to mental health, physical illness, family emergencies, bereavement, injury, etc. However, as a small charity we regret that we are not able to underwrite these kinds of costs.

We strongly recommend you take out your own insurance in case you have to cancel through illness or unforeseen circumstances.

EF reserves the right to cancel your booking, but if this happens, we will give you as much notice as possible. In the event of our cancelling a course, full paid fees will be refunded to the course leader, or optionally we may offer a change of dates (to be agreed with the course leader).

We can accept no further liability for course cancellations beyond refunding the total booking cost, or offering a change of dates.

EF reserves the right to ask participants to leave a course, retreat, or event, if their behaviour is deemed inappropriate or is impacting negatively on the residents of the Ecovillage.

At the beginning of your course we will provide an opening briefing which covers essential information about staying with us to your guests, including health & safety. All data collected from course leaders and guests in connection with bookings will be kept in accordance with the current Data Protection legislation.

Your Obligations

Observe all fire and safety rules and procedures. No smoking is allowed.

Fires and fireworks are not permitted unless you have the express permission of the venue manager.

You must not use the rooms for any activity or in such a way as to cause nuisance or annoyance to other groups, noise must be kept to a minimum after 10PM.

Agree to treat the venue and its contents with care and respect.

You must allow anyone authorised by EF to enter our accommodations when necessary for cleaning, maintenance checks, or repairs, or in the case of an emergency.

We reserve the right to terminate a booking any time that these conditions are not kept in full.
